PRIVACY STATEMENT OF MANIA BUILD LTD, OWNER OF BEST WESTERN PLUS OLIVES CITY HOTEL, YAMAS RESTAURANT AND OLIVE’SPA CENTER (OLIVES). IN RELATION TO THE GENERAL DATA PROTECTION REGULATION – REGULATION (EU) 2016/679

This privacy statement is of Mania Build Ltd, owner of Best Western Plus Olives City Hotel, Yamas Restaurant and Olive’SPA Center, using the OLIVES brand. It aims to explain our practices regarding the personal data we collect from or about you on this website or through our applications, by email, written or oral communication with us when you visit any of our sites or from other sources.

By using any of our products/services and/or accepting this Statement during our communication about any of our products or services, you consent to the collection and use of Personal Data as described in this Statement.

PERSONAL DATA

At every point of contact or interaction with guests and in carrying out all aspects of our business, we may collect personal data. This personal data may include: contact information about you; information related to your reservation, stay or visit to one of our Olives properties. More: participation in a loyalty program; information related to the purchase and receipt of products or services. Also: personal characteristics, nationality, passport number and date and place of issue. More: payment information, such as your payment card number and other information about it, as well as authentication information and other billing and payment account details related to mobile payments. Also: guest preferences; communication and marketing preferences; information about vehicles that you can bring into our properties. Also: booked hotel, airline and rental car packages; groups you are associated with when staying at hotels; information provided for customer programs and when creating accounts. More and other types of information that you choose to provide to us or that we may receive about you.

We also collect other personal data in certain cases, such as:

  • Organizing events: If you are planning an event with us, we collect details of the event, the date of the event, the number of guests, details of guest rooms, and for corporate events, information about your organization (name, annual budget and number of sponsored events per year). We also collect information about guests who are part of your group or event. If you visit us as part of a group, we may have personal data provided to us by the group about you and you may receive offers from us as a result of your stay in a group or event visit, depending on your preferences and to the extent permitted by law. If you visit us as a participant in an event, we may share your personal data with the event organizers, to the extent permitted by law. If you are an event organizer, we may also share information about your event with third-party service providers who may offer you their event services, to the extent permitted by law.
  • Social Networks: If you choose to participate in activities or offers on social networks such as Facebook, Instagram, LinkedIn and others sponsored by Olives, we may receive certain information from your social network account in accordance with your settings on the social network service, such as location, registrations, activities, interests, photos, status updates and friends list. We may also provide you with the opportunity to participate in photo contests, such as those taken during your stay with us, which you can share with your social network contacts for evaluation by voting, shared offers with your friends or other promotions.
  • Job Applicants: If you choose to apply online for a job at some of the Olives locations, by sending an email, leaving your CV on paper at our locations or applying automatically through Jobs.bg or other channels for searching and offering jobs, you automatically agree to send us your personal data that you provide to us or Other information that we receive from you.
  • Third Parties: We may also collect information about you from third parties, our/your booking partners, payment cards, social networking services in accordance with your settings for those services and from other sources that are third parties and are legally entitled to share your data with us. We use and share this information (and may add this information to other information we have about you) for the purposes described in this Statement. Thus, in addition to the information we collect directly from you, we may also aggregate information about you from the data you provide to us or from Other Information we receive.

USE OF PERSONAL INFORMATION WE COLLECT ABOUT YOU


We use your personal information in many ways, including to provide and personalize the services you request and expect from Olives, to provide the in-room and throughout our properties that you expect, to conduct marketing promotional sales, and as further described below:

  • Promotional Services: We use your personal information for promotional services in which you participate, including providing access to your account information, such as the status of rewards and offers for which you are eligible; to perform services that are part of these programs; to enable direct communication between Olives-branded properties and you, and to facilitate the collection process.
  • Meeting and Event Planning: We may use your personal information to provide you with information regarding meeting and event planning.
  • Marketing and Communications: Where permitted, we may use your personal information to provide or offer you promotional offers and current special offers, as well as other marketing communications depending on your stated preferences for receiving communications. We use your personal information to provide messages during your stay, notifications regarding confirmation of reservations, events and/or purchased services, to send you marketing communications about various promotions. We may provide these communications via email, mail, social media, telephone, text message (including SMS and MMS), push notifications, in-app messages and other means (including in-premises messages, such as via the television or audio channel in your room). With your consent, we also use user-generated content (e.g. photos) from social networking services to provide visual advertisements or on our websites and in our applications. We may also collect information about your payment card, which may be added to your personal data and used by our Olives-branded properties to send you targeted marketing messages based on your payment method and your preferences for receiving messages. We may also partner with third parties to understand whether a visitor to our Olives property has an instant payment discount offer associated with his/her payment card and to provide the visitor with advertisements and information explaining how to take advantage of this offer during a stay at Best Western Plus Olives City Hotel, Restaurant and/or Spa Center.
  • Service Improvements: We may use your personal data to make service improvements at Olives-branded properties and to ensure that our properties, products and services are of interest to you. We also use your personal data to provide you with the level of hospitality you expect in the room and on the grounds of our properties. This may include providing you with the ability to control the technology in your room via our website or applications from your personal devices.
  • Invoices: We may send you invoices or hotel bills for services used at Olives properties using your email address. It is your responsibility to ensure that you have provided us with the correct (and preferred) email address to contact you. If you make a booking on behalf of another person using your email address, we will send that person a booking confirmation to your email address.
  • Personal Data Analysis: We may also aggregate your personal data with information from third party sources to keep the information up-to-date and for analysis. We may also rely on information from third parties to provide you with a better and more personalized experience. For example, if you connect your social media services or other accounts to our services, we may use that information to provide you with a more personal and social experience with us, or share and use it as described elsewhere in this Statement.

PERSONAL INFORMATION WE SHARE


In order to provide you with the expected level of hospitality and the best possible service, we may share your personal information with our service providers and other third parties, as detailed below:

  • Group Events and Meetings: If you visit an Olives-branded property as part of a group event or meeting, the information collected for planning the meeting and event will be shared with the organizers of those meetings and events and, where appropriate, with the guests who organize or participate in the meeting or event.
  • Commercial Partners: We may partner with other companies to provide you with products, services or offers based on your experience at our properties, and we may share your information with our commercial partners accordingly. For example, we may assist in arranging car rentals or other services from our commercial partners, and we may share personal information with our commercial partners to provide those services. If you are a guest at one of our Olives-branded properties on your birthday or other personal event, we may share your personal information with other business partners to surprise you with a service as a compliment to your personal celebration. We may also share your personal information, such as your email address, with our corporate travel partners to help them assess compliance with travel policies or participate in special pricing plans, or to participate in co-branded marketing activities with our corporate travel partners. Our partners may be able to provide you with more relevant offers based on information we share about your experience at our properties and information from your profile at Best Western Plus Olives City Hotel or another of our Olives-branded properties. We may also allow our partners to allow third parties to recognize you when you visit their websites or applications, or to recognize you as their customer when you visit Olives websites or applications, so that they can provide you with more relevant offers.
  • On-site Services: We may share personal information with third-party providers who provide on-site services such as DJs, wedding planners, decorators, spa masseurs or restaurant services.
  • Service Providers: We rely on third parties to provide services and products on our behalf, and we may share your personal information with them as appropriate. Generally, our service providers are contractually obligated to protect your personal information and are not permitted to use or share your personal information in any way other than as may be required by law. However, our fraud detection service providers may use your personal information, without sharing it, for the purpose of detecting fraud. We may use service providers to communicate news to you or provide you with promotional and transactional materials on our behalf, including personalized online and mobile advertisements based on your preferences and applicable laws. Olives will only work with entities that offer a method for you to opt out of such advertising.
  • Business Data Transfer: In the course of its business, Mania Build OOD and its Olives brand may sell, purchase, restructure and reorganize operations and assets or cease operations as a hotel/restaurant/spa center entity that is currently part of our brand. In such cases, Mania Build OOD may transfer, sell or otherwise transfer the information collected, including, without limitation, Other Information (described below) and personal data, to one or more related or unrelated third parties in connection with such business transactions. To the extent required by local law, we will provide notice of our intention to transfer personal data to a third party for such purpose and an explanation of how you may object to such a transfer.
  • Other: In addition, Olives may disclose personal data to: (1) comply with applicable laws, (2) respond to government inquiries or requests from public authorities, (3) comply with available legal process, (4) protect the rights, privacy, safety or property of Mania Build OOD, site visitors, guests, employees or the public, (5) allow us to seek available remedies or limitations on damages that may be caused to us, (6) enforce the terms and conditions of our websites, and (7) respond to emergency situations.

OTHER INFORMATION


When you visit and use the Olives brand websites www.OlivesHotel.com and www.yamas.bg, we collect other data that does not directly identify you, about your use of the site, such as the number of times you visit our sites. We use Other Information and data obtained from third parties to provide you with email, online on our sites or other social pages and mobile advertisements.

We use cookies and other technologies (such as “pixel tags”, “web beacons”, “clear GIFs”, links in emails, JavaScript, device IDs assigned by Google or Apple, or similar technologies) to obtain this information. If you wish to remove or block Cookies at any time from your device, you can update your browser settings (see your browser’s help menu to learn how to delete or block Cookies). Olives is not responsible for your browser settings. You can find good and simple instructions on how to manage cookies for different types of web browsers at www.allaboutcookies.org.

Note for citizens of the European Economic Area (EEA) and the United Kingdom: If you are located in Europe, you can also change your cookie preferences by making changes to the “Cookie Settings” in the Cookie Manager.

We may use the information we collect and aggregate or anonymized personal data we receive from third parties to learn more about our users (for example, we may use aggregated information to determine the percentage of our users with a particular phone code). This includes demographic information such as date of birth, gender and marital status, implied commercial interests such as favorite products or activities, and other information we may collect from you or from third parties.

Since Other Information does not identify you, we may disclose this information for any purpose where permitted by law. In some cases, we may combine Other Information with personal data. If we combine Other Information with personal data, the combined information will be treated as personal data in accordance with this Statement.

SENSITIVE INFORMATION


The term “sensitive information” refers to information related to your racial or ethnic origin, political opinions, religious or philosophical beliefs, trade union membership, health, sex life or sexual orientation, genetic information, criminal history and any biometric data used for the purpose of identifying you. We do not collect sensitive information unless you voluntarily provide it to us. We may use health information you provide to better serve you and meet your specific needs (for example, to provide accessibility for people with disabilities).

PERSONAL DATA FROM CHILDREN


We do not knowingly collect personal data from individuals under the age of 18. As a parent or legal guardian, do not allow your children to submit personal data without your permission.

LINKS TO THIRD PARTY WEBSITES AND SERVICES


Our sites and social pages may contain links to third-party websites. Please note that we are not responsible for the collection, use, maintenance, sharing or disclosure of data and information by such third parties. If you provide information to and use third-party websites, the privacy policies and terms of service of such websites apply. We encourage you to read the privacy policies of the websites you visit before submitting any personal data.

Olives may also partner with a limited number of Internet service providers to offer Internet access to our guests. Use of Internet service at Olives branded properties is governed by the terms of use and privacy policies of the third-party Internet service provider. You can access these terms and conditions by using the links on the service login page or by going to your internet provider’s website.

SECURITY OF PERSONAL INFORMATION


Olives will take reasonable steps to: (1) protect personal information from unauthorized access, disclosure, alteration, or destruction; and (2) keep personal information accurate and up-to-date, as appropriate. We also require our service providers with whom we share personal information to use reasonable efforts to ensure the confidentiality of your personal information. For online transactions, we use technological means reasonably necessary to protect the personal information you submit to us through our site. However, unfortunately, no security system or data transmission system over the Internet is guaranteed to be completely secure.

In order to protect your personal information, please note that when you send us information with payment card numbers or other sensitive personal information via email, it will be used solely for that specific purpose.

We will contact you via mobile/text message or email to ask you to provide us with your sensitive personal information or payment card information. We will only request payment card details by phone or email when you make a reservation for a stay or event at the hotel.

TRANSFER OF PERSONAL DATA ABROAD


As a private company, we strive to provide you with the same level of service at all Olives City Hotel properties that you have come to expect at Olives. In order to provide this service, you acknowledge that we may share your personal data with employees at these properties, as well as with our service providers and other third parties whose locations may be outside the hotel building. Therefore, we will take appropriate measures to ensure that your personal data is processed as described in this Statement and in accordance with legal requirements.

CHANGE AND ACCESS TO YOUR PERSONAL DATA


If you are a customer of Best Western Plus Olives City Hotel, YAMAS Restaurant or Olive’SPA Center, the information you provided to us during registration can be accessed, reviewed and updated at any time when you enter the Olives branded properties.

Within the scope of applicable laws, you may request that we inform you about the personal data we hold about you and, where appropriate, request the updating, correction and/or deletion of your personal data that we maintain in our active database. We will make all necessary updates and changes within the time limits specified in applicable laws. In order to protect the confidentiality of your personal data, we may only respond to such requests at the email address you have registered or otherwise provided to us. Please note that if you wish to do so, you must make your request to reservation@OlivesHotel.com with a copy to sales@OlivesHotel.com.

In addition, in certain circumstances, based on applicable law, you may request that we cease sharing your personal data with our business partners or that Olives cease using your personal data by contacting us at the email or postal address specified above. We will endeavor to respond to such requests in accordance with applicable laws.

STORAGE OF PERSONAL DATA


We store your personal data for the period necessary to fulfill the purposes described in this Statement, unless a longer storage period is necessary or permitted by applicable law.

We will destroy your personal data as soon as possible and in such a way that it cannot be reproduced or restored.

If it exists in printed form on paper, the personal data will be destroyed in a secure manner, for example by machine cutting into small pieces or burning the paper documents or in another such way, and if it is in electronic form, the personal data will be destroyed by technical means so that it cannot be reproduced or restored.

CHOICE – MARKETING COMMUNICATIONS


If you have provided us with contact information (postal address, fax number, email address or telephone number), we may wish to notify you based on your preferences for our products and services or invite you to participate in events by and through email, online advertising, social media, telephone, text message (including SMS and MMS), push notifications, postal mail, our customer service sales and marketing department and other means.

VIDEO SURVEILLANCE


If you are a guest at Best Western Plus Olives City Hotel, YAMAS Restaurant and/or Olives’SPA Center, we inform you that a 24-hour video surveillance system is in place that records your actions from the time you enter our facilities until you leave. The recordings from each camera are stored on servers for up to 3 weeks. The data from the records are used only and solely in the event of theft and violations of internal labor regulations or damage caused by guests at the facilities, contractors-suppliers, employees and/or third parties. The records may only be provided to law enforcement agencies, upon submission of a document for this purpose.

CHANGES TO THE STATEMENT


We may change this Statement from time to time. When we make material changes to this Statement, we will post a link to the updated Statement on the home page of our site and, if you have registered for any of our products or services, we may also notify you through the communication channel you have provided. You will know when this Statement was updated by checking the link and date at the end of the Statement. Any changes to our Statement will be effective upon the posting of the revised Statement on our site. By using the site and/or any of our products and services and/or accepting the updated Statement following such changes, you agree to the then-current revised Statement.
